Invoice and Statement Delivery (ISD)

Invoice and Statement Delivery allows you to streamline the email process of Documents like Invoices, Credit Memos, Payment Receipts, Past Due Reminders and Statements within Business Central. By using ISD, you are now able to automatically email documents upon posting of the transaction, or use the ISD Dashboards to send invoices and supporting documentation directly from the dashboard in bulk.

ISD also allows users to automate the dunning process by scheduling upcoming and overdue invoice notices to be automatically sent, as well as handle the customer statement distribution process, all without human intervention.

In addition to sending emails, ISD also allows users to update certain fields on Posted Invoice and Posted Credit Memo Records, so that you can correct Invoices and Credit Memos without having to Cancel and Re-Create those Invoices and Credit Memos.

Field Options and Descriptions

GENERAL
Test Email AddressDuring testing, if this field is filled out it will override all AR Email Addresses designated on the customers card. On posting all documents will be sent to this email address.
Allow Attach Doc in EmailThis allows you to attach documents to the transactions included below and have it sent as an attachment to the underlying document. Include in Email (ISD) must be checked on the transacion for it to be send via the ISD Dashboard.
Invoice
CC AddressInclude one or multiple email address(s) that you would like copied on each invoice that is sent.
Report ID FilterEnter in the Filter for the possible Report IDs for the Invoice Printout...enter them with the Object ID and a pipe between like 1306|10072|50500.
Email SenderChoose from Default, Salesperson, Creator, or assigned. If assigned is chosen, it will always send from the email below.
Email AssigneeIf the above is set to assigned, this is the email it will come from.
Email SubjectIndicate the subject of the email you will be sending. Use special characters to indicate company name (%1), Entry Number (%2), or Sell-To Customer Name (%3).
Email Body MemoIndicate the body of the email you will be sending. Use special characters to indicate company name (%1), Entry Number (%2), or Sell-To Customer Name (%3). Supports HTML formatting, images, logos, etc.
Consolidated Email SubjectIf your customer's invoice consolidation option on the customer card is "Consolidate", this will be the email subject used when multiple emails are sent at once.
Consolidated EmailIndicate the body of the email you will be sending. Use special characters to indicate company name (%1) and Company Name (%2). Supports HTML formatting, images, logos, etc.
Summary NoteEnter a note that you would like to appear at the bottom of the posted sales invoice here.
Email upon PostingToggle On/Off - If On, when the document is posted it will automatically send the email based on your configuration. If Off, you will have to send from the ISD Dashboard.
Credit Memo
CC AddressInclude one or multiple email address(s) that you would like copied on each invoice that is sent.

Statement

Statement Report IDEnter the Report ID No. for the Statement Report that you want to use when you send out Statement Emails. If left blank, system will use Document Layout for Statements on Customer Card, or the Report Selection for Customer Statements.
Past Due Reminders
Send Reminder EmailsToggle On/Off
Email Date FormulaBased on due date, when will the first email notifying the client of payment coming due be sent (-2D sends the first email 2 days before the due date).
Email IntervalDetermine how often after the first email goes out you want additional emails to be send (7D or 1W would send invoice reminders weekly until the invoice is paid in full).
Email SenderChoose from Default, Salesperson, Creator, or assigned. If assigned is chosen, it will always send from the email below.
Email AssigneeIf the above is set to assigned, this is the email it will come from.

Customer Fields
AR Email on Customer CardThis is the email the customer documents (Invoice, Credit Memo, Payment, Statement) will go to when posted.
If you do not have auto post on this is the email that will be used when sent from the Invoice and Statement Delivery Dashboard.
If there is no email address defined here then it will look to send to the Customer Email Address.
Statement Delivery Option on Customer Card
No StatementCustomers with this option will not be included in the statement email job.
Statement OnlyCustomer with this option will be included in the statement email job, and only the statement will be sent.
Statement - Separate FilesCustomer with this option will be included in the statement email job, and the statement will be sent along with a PDF for every invoice on the statement individually.
Statement - Consolidated FilesCustomer with this option will be included in the statement email job, and the statement will be sent along with 1 PDF which includes all invoices on the statement.
Invoice Consolidation Option
No ConsolidationWhen multiple invoices are selected to be sent from the dashboard, one email will be sent per invoice.
Consolidate - One Email and One FileWhen multiple invoices are selected to be sent from the dashboard, one email will be sent grouping all of the invoices, with 1 PDF of all invoices combined.
Consolidate - One Email and Separate FilesWhen multiple invoices are selected to be sent from the dashboard, one email will be sent grouping all of the invoices, with individual PDFs of each invoice.
Invoice Consolidation Option
Invoice Delivery DOWChoosing Any means that the Posting Date is the Scheduled Delivery Date.....otherwise pick the Day of the Week you want Invoices to be set for Scheduled Delivery Date. Invoices on Invoice Delivery Dashboard are Sorted by Scheduled Delivery Date, and the Job Queue for Batch Emailing will only send on that Scheduled Date.
Document Sending Profile on Customer CardThis needs to be set to EMAIL to send emails out of Business Central.
User Setup
User IDDefine the BC User ID you want to restrict or allow certain functions.
Can Launch Invoice DashboardIf checked this user will have access to the Invoice Dashboard.
Can Launch Credit Memo DashboardIf checked this user will have access to the Credit Memo Dashboard.
Can Launch Payment Receipt DashboardIf checked this user will have access to the Payment Receipt Dashboard.
Can Launch Statement DashboardIf checked this user will have access to the Statement Dashboard.
Can Update Posted InvoiceIf checked this user will have access to update Posted Sales Invoice Records.
Can Update Posted Credit MemoIf checked this user will have access to update Posted Sales Credit Memo Records.

Use Cases

  • Send Invoices, Credit Memos, and Payment receipts automatically when these documents are posted.
  • Send Invoices, Credit Memos, and Payment receipts from a dashboard.
  • Send Customer Statements from a dashboard, or on a regular schedule (such as last day of the month) via email.
  • Send Invoice, Credit Memo, and Payment Receipts on a nightly job queue.
  • Include copies of all invoices when sending statements to customers automatically.
  • Automatically send emails for upcoming invoices that have not been paid but due date is within a certain threshold.
  • Automatically send emails for overdue invoices that have not been paid on a regular cadence until payment has been received.
  • Send Invoice Reminders or Overdue notices from a dashboard individually or in bulk.
  • Update fields such as Customer, Address, Contact, Dates, Payment Terms, External Document, and Salesperson on a posted Sales Invoice.
